Job Opportunity – Estate Law Clerk

POSITION SUMMARY

Our Mississauga office is seeking an experienced Estates Law Clerk to support a senior Partner in our Estates team.  In this role, you will work as part of a team dedicated to probate and estate administration for a range of clients and estates.

The successful candidate will be organized, discreet, detail-oriented, and have a client-first approach to work. In addition, the successful applicant must be team-oriented and accustomed to working as a work team with other law clerks and assistants.  Generally, the hours of work are from 9:00 a.m. to 5:00 p.m. with some flexibility required to meet client needs.

RESPONSIBILITIES

  • Delivering detailed and complex Canadian Will, power of attorney, trust and estate administration services
  • Assist with the preparation, drafting, and revision of legal documents, estate forms, correspondence and reporting letters independently with minimal supervision.
  • Ensuring that estate documents and procedures are completed in a timely manner, including forwarding draft documents to the lawyer and clients for review
  • Following up with clients for outstanding information, coordinating the flow of documents between clients and the office
  • Scheduling client meetings; acting as witness to client documents; and communicating with the estate courts in connection with ongoing matters
  • Review and organize client documents, scan documents, maintain databases of client contacts.
  • Completing legal administrative tasks including overseeing file openings, billing, and document production
  • Working proactively and initiating follow up actions to expedite the flow of work
  • Day to day management of files including communications with clients, various levels within the office, and various levels of Court, as directed by lawyer
  • Ensuring that the firm’s lawyers are at all times advised of client-related issues, which may come to your attention
  • Managing correspondence, booking, and scheduling appointments
  • Using technology and digital initiatives to enhance the client experience ie. Zoom
  • Effectively using software such as Teams, Cosmolex, Word, Excel, Outlook and Estateably
  • Reviewing your work for quality, accuracy, and relevance
  • Staying abreast of changes in Will, power of attorney, trust and estate law, as well as related regulation and policy
  • Ability to respond to everyday tasks with minimal supervision
  • Ability to work collaboratively in a team environment
  • Maintain a positive rapport with legal team, office staff, and clients
  • Other general duties as required.

 

REQUIREMENTS

  • Comprehensive knowledge of Ontario Will, power of attorney, trust and estate law as evidenced by at least three – five (3 – 5) years of relevant full-time work experience
  • Law Clerk Diploma and/or University Degree considered an asset
  • Superior knowledge of the Rules of Civil Procedure and willingness and ability to research and learn the Rules
  • Analytical and problem-solving skills within a fast-paced environment
  • Ability to locate and research information efficiently, to use it effectively, and to evaluate the quality of the information
  • Excellent English verbal and written communication skills, including the ability to relate to people at all levels
  • Excellent data analytic skills and reporting abilities
  • Ability to effectively prioritize and organize tasks
  • Ability to work both independently and as part of a team
  • The ability to multi-task, proactively resolve any issues that arise, and work effectively under pressure in order to meet deadlines
  • Demonstrated commitment to privacy and ethical conduct.
